Ensemble Services Coordinator
Hybrid | Full-Time
Reports to: Executive Director

Role Overview
The Ensemble Services Coordinator is a highly organized, service-oriented professional who plays a key role in delivering exceptional travel and performance experiences for ensembles touring with Sechrist Travel. This position supports the full planning process, guiding directors and group leaders through the logistics of international and domestic tours with clarity, care, and a strong commitment to personalized service.

This role is ideal for someone who enjoys working behind the scenes to support musicians and educators, takes pride in creating seamless travel experiences, and thrives in a collaborative, detail-driven environment. The successful candidate is proactive, communicative, and passionate about the performing arts, travel, and cultural exchange.

Key Responsibilities

Client & Ensemble Experience

  • Serve as a primary point of contact for ensemble directors and group leaders, providing clear, responsive communication throughout the tour planning process
  • Build strong relationships with clients to ensure a supportive and positive experience from initial planning through tour completion

Tour Planning & Logistics

  • Coordinate all tour logistics, including flights, accommodations, ground transportation, dining, sightseeing, and cultural experiences
  • Develop and maintain detailed itineraries that integrate rehearsals, performances, travel, and excursions
  • Manage participant data, rooming lists, flight lists, and deadlines to ensure accuracy and alignment with tour requirements

Project Coordination

  • Track timelines and deliverables across multiple tours, proactively addressing challenges and collaborating with internal teams
  • Maintain organized records and clear communication across all planning stages
  • Prepare participant materials and communications using established timelines and templates

Financial & Vendor Coordination

  • Assist with invoicing and payment tracking, ensuring clear communication with group leaders regarding financial timelines
  • Coordinate bookings and confirmations with hotels, transportation providers, restaurants, and local vendors

On-Tour Support

  • Provide on-site support during tours, including arrivals, check-ins, rehearsals, performances, and departures
  • Assist with concert logistics, hospitality, and overall group experience to ensure a successful and memorable tour

General

  • Collaborate closely with internal teams to ensure seamless tour execution
  • Represent Sechrist Travel with professionalism, attention to detail, and a commitment to client care

Qualifications

  • Bachelor’s degree in arts administration, event management, hospitality, or a related field
  • 2+ years of experience in group travel, tour coordination, or hospitality
  • Strong organizational skills with the ability to manage multiple projects and deadlines
  • Excellent written and verbal communication skills with a client-focused approach
  • High attention to detail in managing schedules, participant information, and documentation
  • Proficiency with MacOS and Google Workspace; ability to learn new systems quickly
  • Strong interpersonal skills and a collaborative mindset
  • Interest in music, performing arts, and educational travel experiences
  • Availability for occasional travel and weekend commitments during tours and events

Compensation
$45,000 – $52,000 annually
